Membership Services Representative and Executive Assistant to CEO – Association Management Company


Position Overview:
We are seeking a skilled individual to join our Association Management team, responsible for overseeing the accounts payable and receivable functions. The ideal candidate should possess proficiency in QuickBooks, the Microsoft Suite, and other relevant qualifications, along with a strong background in financial management.


Key Responsibilities:
Manage and oversee the daily operations of accounts payable and receivable, ensuring accurate and timely processing of invoices, payments, and receipts. Reconcile financial discrepancies by thoroughly investigating and resolving any discrepancies or variances in financial documentation and transactions.Monitor and manage cash flow, maintaining appropriate working capital levels to support the financial stability of the organization. Prepare, analyze, and interpret financial statements, reports, and forecasts, providing strategic recommendations to optimize financial performance. Collaborate closely with the CEO to develop, monitor, and manage budgets, offering financial guidance and identifying cost-saving opportunities. Maintain precise and up-to-date financial records, ensuring strict compliance with accounting principles, industry standards, and relevant regulations. Play a pivotal role in the preparation of annual audits and tax filings, ensuring adherence to timelines and regulatory requirements.


Qualifications:
Demonstrated experience 2 plus year or a similar role, preferably within association management or a related industry with unionized reporting responsibilities.
Proficiency in QuickBooks and the Microsoft Suite (Excel, Word, PowerPoint, etc.) is essential.
In-depth understanding of financial principles, practices, and regulations
Strong analytical and problem-solving skills, along with meticulous attention to detail.
Exceptional communication and interpersonal skills to effectively collaborate with diverse departments and stakeholders. Ability to handle sensitive and confidential information with the utmost discretion and integrity. Proven leadership and team management capabilities.
